The Senior Coordinator supports the Director and Manager of the US Partnership Office and firm management by fulfilling a variety of duties, including facilitating meetings and events, preparing meeting papers, scheduling, travel arrangements, other administrative duties and assisting with various projects and initiatives.

This position is ideally located in Austin, Dallas, Houston, or San Antonio, Texas. We offer a hybrid schedule with the opportunity to work primarily remote. All personnel, absent those with an approved accommodation, are expected to be in the office under certain circumstances, including but not limited to client business needs; firm business travel; participating in firm, group, or team meetings/events; at the request of their supervisor; when needed to serve a client or accomplish a task for the firm that requires in-office attendance, etc.

The Senior Coordinator reports to the Director of the US Partnership Office. This position is non-exempt position and eligible for overtime pay when appropriate. Overtime and flexibility in schedule may be required from time to time.

Responsibilities include but are not limited to:
  • Assist with researching, planning and setting up special projects, tracking progress (including cost estimates and actuals), status reporting, and liaising with other departments and offices
  • Maintain organization of electronic files in the firm's document management system (iManage)
  • Provide administrative and clerical support to firm management including proofreading materials for content, grammar and accuracy
  • Assist with production of documents, correspondence and emails including revisions, formatting and redlining, data entry and production of spreadsheets and PowerPoint presentations
  • Schedule meeting and coordinate video and conference calls, reserve conference rooms and circulate details to participants and USVC when applicable; manage and present content for certain meetings
  • Handle travel arrangements and itineraries including air, hotel, and ground transportation
  • Review and process expense reimbursements and vendor invoices
  • Support special projects as requested

Skills and qualifications
  • High school diploma is required, but college degree is preferred
  • Must be proficient in Microsoft Office
  • Excellent written/verbal communication skills
  • Ability to maintain confidentiality and discretion with all aspects of position
  • Forward-planning skills, and ability to manage and prioritize own workload effectively
  • Organizational and problem-solving skills essential, including critical thinking
  • Must exercise good judgment and professionalism in communication and behavior
