About the role

The Operations Support Manager is a corporate support position responsible for assisting with various projects that supports the overall success of the Balfour Beatty property management business.

What you'll be doing

  • Fills in for corporate and/or on-site operational positions during vacation, leave, or vacancy performing typical tasks and duties outlined in those job descriptions.
  • Conducts regular visits to communities to ensure that all leasing policies and procedures are being followed.
  • Attends large leasing events at assigned communities to provide additional support as necessary.
  • Collaborates with the Marketing Department on the development of creative communication pieces, promotional materials, presentations, campaigns and websites.
  • Perform any back-end website updates pertaining to; unit rates, specials/tiers, promotions, etc.
  • Coordinates and drives timeline for operational and business development projects. Executes and ensures completion of deliverables from initiation to final product, including:
    • Creation of project schedules/milestones and ensures timely completion of various projects.
    • Organizes and attends project meetings, as needed, including scheduling coordination and assisting with the preparation of deliverables.
    • Assists with team communication and escalates items as necessary.
    • Researches and collects data pertinent to various initiatives.
    • Communicates effectively to key internal and external stakeholders.
    • Collaborates with project leads or department heads to develop strategies and recommendations.
    • Conducts any training needed for various projects.
  • Works with Learning and Development to provide recommendations to Operations policies.
  • Conduct training on various policies and procedures related to Operations processes, as needed.
  • Work as a direct liaison with IT regarding any software, website, or miscellaneous issues.
  • Shape and maintain Resident Experience program serving the student housing communities within the Balfour Beatty portfolio.
  • Provides oversight for the monthly operation of the residential communities including academic initiatives and services available to residents which are delivered by the site staff.
  • Assists with responding to concerns of students, parents and other personnel regarding any/all aspects of the residence life; develops liaison relationships with other university agencies.
  • Prepares periodic management reports and summaries, research operational data and maintains measures of effectiveness and success.
  • Further develop a student staff recruitment and selection process which encourages and values world class customer service, professionalism, and resident satisfaction.
  • Work with the customer service team to review student satisfaction survey results, review management, and determine strategies to address community related concerns.
  • Conducts on-site training and on-boarding for all new full-time office team members with the assigned portfolio.
  • In coordination with the BBC Training team, conducts regular on-going training on the Company's Policy and Procedures related to leasing, sales, marketing, customer service methods, operations and LifeWorks.
  • Annual training each fall of all office staff (per site) on the prospect, leasing, and renewal process.
  • Assist with the preparation and distribution of weekly, monthly, and quarterly reporting as requested.
  • Assist with presentation of reporting information to internal and external clients.
  • Monitor and confirm that all reporting requirements for sites are met.

Who we're looking for

  • Bachelor's Degree preferred
  • High School Diploma or GED required
  • Minimum of 3 years of residential community manager or hospitality experience
  • Broad knowledge of student housing/multi-family operations and industry-related concepts.
  • High energy and desire to make a difference in the employee experience
  • Team player with confidence and integrity to earn employees' confidence quickly
  • Enjoys working in a fast-paced environment
  • Critical thinker proficient in identifying potential issues
  • Proficient Computer skills including Microsoft Office to include Word, Excel, Power Point and Outlook; property management software (preferably Entrata), and database management programs.
  • Ability to travel 75% of the time.
  • Must have an active and valid driver's license
